HVAC Filter Upgrades: Keep the Air Moving

Approve particle filtration together with airflow, installed fit and replacement supply. A practical acceptance and maintenance plan for Iranian building owners and facility teams.

Start with the occupied space, not the filter label

For an occupied building, a filter upgrade is a decision about delivered service: which particles should be reduced, where the treated air must reach, and who will keep the equipment working? OlbrichCo recommends approving the filter, its housing and the operating conditions together. A purchasing instruction that specifies only a higher rating leaves the most consequential installation and maintenance questions unanswered.

CDC’s workplace guidance recommends MERV 13 or better where compatible with the HVAC system. It also calls for correct filter sizing, service-life checks and housing inspection to limit air bypassing the filter. [1]

EPA’s residential guidance treats filtration as a supplement to pollutant-source control and ventilation with clean outdoor air. It explicitly cautions that air cleaners and HVAC filters cannot remove every pollutant. [2]

For an Iranian office or residential building, begin with a named air-handling unit and its served rooms. Record the concern, occupancy, outdoor-air arrangement, recirculation path and operating schedule. Keep this note’s scope to ordinary mechanical particle filtration. Hospitals, isolation rooms, industrial extraction, hazardous contamination and smoke-control systems require their own specialist design and acceptance. Do not present a particle-filter purchase as a substitute for required ventilation or as a solution to an unidentified air-quality complaint.

Keep the test identity attached to the product

EPA’s MERV guidance, updated in January 2026, explains that the rating reports capture of particles between 0.3 and 10 micrometres using an ASHRAE-derived test method. It is a filter comparison measure. [3]

ISO 16890-1:2016 classifies general-ventilation filters by particulate-matter efficiency. Its public abstract warns that laboratory results alone cannot quantitatively predict efficiency and lifetime in service. [4]

Ask each bidder for a report identifying the manufacturer, exact model, dimensions, filter depth, test method and edition, classification, tested airflow and resistance data. Record whether the submitted document describes the complete element being offered or merely its media. Where a specification uses ISO ePM terminology and a quotation uses MERV, require the designer to resolve the evidence against the specified method; do not award equivalence from a reseller’s conversion table.

Prepare a comparison sheet using the same intended airflow and physical installation. Include the clean-filter pressure drop, the manufacturer’s stated final resistance and its basis, any conditioning information in the test report, environmental limits and replacement instructions. If essential data are missing, mark the offer unqualified rather than filling the gap with a neighbouring catalogue model. Retain the original technical document and a controlled Persian summary so procurement and the maintenance team are approving the same product.

Check the fan and distribution system before ordering

ASHRAE’s filtration guidance stresses that upgrades must not adversely affect airflow or pressure relationships, that filters need effective seals, and that filtration requires air moving through the filter. A higher rating alone does not establish installed performance. [5]

Commission a competent HVAC engineer or testing-and-balancing specialist to establish the baseline. Identify the fan and control mode, required supply and outdoor airflow, available pressure allowance, equipment limits and representative operating conditions. Measure the existing system in a documented condition; do not compare an unknown dirty filter with a new candidate and attribute the whole difference to its rating. Record instrument identity, measurement location, units and uncertainty appropriate to the decision.

Ask for an engineering check at both the proposed clean condition and the agreed end-of-service resistance, not just a successful startup. Include the affected heating or cooling equipment, room service, noise and relevant pressure relationships in the review. Do not authorize a speed increase or control change simply to recover an airflow reading. The responsible engineer must check the fan, motor, electrical installation and system limits before approving an adjustment.

Choose the response deliberately: accept a compatible element, redesign the housing or filter area with engineering approval, or retain an approved arrangement while investigating another suitable air-cleaning option. Do not stack extra filters into an unassessed rack or remove a specified stage to make a trial pass. If the available equipment cannot meet the agreed service conditions, record a design decision and revised scope before committing to bulk supply.

Make fit and airflow part of installation acceptance

Use the first representative unit as an acceptance trial with the owner, installer and commissioning specialist. Check actual dimensions, seating, gasket continuity, retaining devices, media condition, orientation and maintenance access against the approved product instructions. Photograph the installed identity and accessible interfaces before closing the housing. A correctly labelled box in the storeroom does not establish that the element inside the unit is correctly fitted.

Plan inspection and replacement under the site’s safe isolation and access procedure. Only qualified personnel should approach moving equipment, electrical components or contaminated material. The ribbon in the cover is an editorial metaphor, not a field test: do not introduce loose objects into an operating air-handling unit. Define safe pressure-tap and airflow-measurement arrangements through the competent specialist rather than improvising access while the fan runs.

Repeat the agreed airflow and pressure measurements after installation at recorded fan settings and operating conditions. Confirm required supply and outdoor airflow, relevant room pressure relationships, equipment operation and acceptable noise. Record the installed filter pressure drop as a baseline, not as proof of particle-removal efficiency. If an in-situ efficiency test is required, specify its separate specialist method, instruments and acceptance criteria before commissioning it.

Release the installation only when product identity, fit, measured service and maintenance arrangements all meet the approved criteria. Record deviations with an owner, corrective action and retest requirement. A failure should lead to an engineered correction or an explicitly approved alternative, not an undocumented return to a lower rating. Keep contractual acceptance separate from a claim about occupant health; this workflow does not establish a medical outcome.

Make the approved filter replaceable in practice

Before choosing a model for Iranian procurement, obtain written commitments for replacement availability, lead time, minimum order and technical support. Assess a proposed alternative through the same product and system checks; matching nominal dimensions is not an approval. Agree who bears the cost of housing changes, repeat measurements and rejected substitutions. Use current project quotations for cost comparisons rather than an imported price or a promised percentage saving.

Give each unit a simple maintenance record: approved filter reference, installation date, clean baseline, operating condition for comparison, inspection instructions and engineer-approved action limits. Locate and identify any differential-pressure indicator so the reading is unambiguous. Require the operator to consider the recorded operating condition before interpreting a change. Do not treat one pressure value, a colour change or a calendar date as a universal diagnosis of filter condition.

Set an initial inspection interval using manufacturer instructions and the actual duty, then review it against observations. Where the building faces episodic dust or nearby construction, plan additional checks after such events rather than assuming every Iranian site has the same loading. Have the qualified team investigate damaged media, poor seating, moisture or abnormal readings. Follow the approved safe replacement and disposal procedure; do not wash a disposable element or bypass an alarm to extend its use.

Deliver a Persian operating sheet at the unit and an owner-held digital copy with revision control. Include the contact route, approved spare stock, replacement demonstration and the point at which the operator must seek engineering review. If remote access or connectivity is unavailable, the operator should still be able to identify the installed product, read the maintenance instruction and record an intervention. An online supplier page is not the only acceptable handover record.

Scale a repeatable service, not a one-day demonstration

Review the trial after a representative operating period agreed with the owner. Measure the proportion of inspected units with verified product identity and fit, units meeting required airflow, maintenance actions completed on time, stockouts and unauthorized substitutions. Keep the denominator and operating context with every result. Track fan electricity and replacement expenditure where the comparison boundary and measurement method are credible; do not infer savings from the filter rating.

If room particle measurements are included, predefine the instrument, locations, time period, operating modes and contextual observations. Record outdoor conditions, occupancy and other relevant changes, and keep the specialist’s limitations with the interpretation. A single before-and-after reading should not become proof of lasting improvement or attribution to the filter alone. Set the monitoring question narrowly enough that the collected evidence can actually answer it.

Expand only after the trial has demonstrated repeatable installation, acceptable service and a workable replacement route. Transfer the approved model and procedure only to units whose conditions have been checked; a second building is not automatically equivalent. Reopen the decision when the product, fan setting, occupancy, duct arrangement or operating schedule changes. Preserve the previous record so the reason for the change remains auditable.

Applicable Iranian requirements, the contract, manufacturer instructions, site conditions and qualified local engineering review control the final selection and limits. No universal pressure-drop allowance, replacement interval, health benefit or financial return is promised here. The useful outcome is a maintainable filtration arrangement whose identity, airflow, fit and operating responsibilities remain visible after the purchasing team has left.
